Refund & Cancellation Policy

1. Immediate Service Commencement
When you purchase a Netherlands Visa Alerts Cancellation Finder search, we begin work immediately upon successful payment. This normally happens within seconds of your payment being processed.
By completing your purchase you:
- expressly request and consent to the immediate commencement of the service;
- acknowledge that we begin incurring costs to provide the service immediately;
- understand that a proportionate charge may be payable if you cancel after supply begins but before the service is fully performed;
- acknowledge that your right to cancel is lost once the service is fully performed during the cancellation period; and
- confirm that the route, city, destination, dates and applicant details you supplied are correct.
This request is recorded against your order at the moment of purchase, together with the exact wording displayed to you, the date and time, your IP address, your device information and the version of this policy then in force. We retain that record as evidence of the agreement.
2. Charges After The Service Has Commenced
If you exercise a statutory right to cancel after asking us to begin, but before the service has been fully performed, we may deduct or request a reasonable, proportionate amount for the service supplied up to the time you tell us that you wish to cancel. We assess that amount against the total agreed price and the work and coverage already supplied.
This is because we incur immediate and continuing costs to deliver the service, including:
- Order setup and validation: we validate your order, configure your route and prepare your search profile;
- Route research: we confirm the correct provider, application centre and appointment process for your specific route;
- Staff checking time: team time is allocated to checking the official provider for appointments matching your preferences;
- Infrastructure: server time, bandwidth, secure storage and system maintenance are consumed from the moment the service begins;
- Communications: email and SMS notification delivery, alert handling and support capacity are reserved for your order.
These factors help us calculate any proportionate charge. They do not remove statutory rights or automatically make the whole fee non-refundable merely because supply has begun.
3. The 14-Day Cancellation Period
Under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 you would ordinarily have 14 days to cancel a service bought online.
Regulation 36 permits a service to begin during that period when the consumer makes an express request. It also provides for a proportionate payment for service supplied before cancellation. The statutory cancellation right is lost only after the service has been fully performed, where performance began after the consumer's express request and acknowledgement.
Our checkout obtains both. By completing your purchase you explicitly acknowledge and agree that:
- you want us to begin the service immediately and without waiting;
- you understand that cancelling before full performance may result in a proportionate charge for service already supplied;
- you understand that the statutory cancellation right is lost only when the service has been fully performed during the cancellation period; and
- you acknowledge that service supplied includes order validation, route configuration and appointment checking.
Nothing in this policy affects rights that cannot lawfully be excluded, including where we fail to supply the service with reasonable care and skill.
4. Other Refund Circumstances
In addition to any statutory cancellation right, we will consider refunds in the following circumstances:
- Cancellation before any work begins: you contact us within minutes of purchase and before any setup, validation, route configuration or checking has taken place;
- Service failure within our control: we are wholly unable to provide the service because of a fault on our side. This does not include provider website changes, provider outages, queue systems, appointment scarcity or any other third-party issue;
- Duplicate payment: you were charged more than once for the same order, in which case we refund the duplicate;
- Incorrect charge: you were charged an amount other than the price displayed for your order.
All requests are reviewed individually against our order, consent and activity records. Nothing in this section limits a right or remedy available under applicable law.
5. What Counts As Delivery
The service is delivered when we provide checking and alert coverage for your route across your search period, or when we send you an alert for an appointment matching your preferences, whichever occurs first.
The service is fulfilled regardless of whether:
- you are able to act on an alert before the appointment is taken by someone else;
- you miss, ignore, delete or cannot receive a notification we send;
- no suitable appointment becomes available during your search period, which is outside our control;
- the official provider changes its process, availability, rules, website, fees or centre locations;
- you change your travel plans, no longer need the appointment, or book elsewhere;
- your visa application is refused, delayed, withdrawn or no longer required; or
- you supplied incorrect route, contact, date or applicant details.
Appointment availability is controlled entirely by the official provider. We do not sell, hold, reserve or allocate appointments, and we cannot guarantee that any will appear.
6. Fees Not Covered By This Policy
Our fee covers the Netherlands Visa Alerts search service, email and SMS notifications. Official visa fees, provider service fees, biometric fees, courier fees, travel costs, document costs, translation costs and any other third-party charges are not included in our fee, are never received by us, and cannot be refunded by us.
7. Chargebacks And Payment Disputes

If you raise a chargeback or payment dispute, we will respond with the records held against your order, including your acceptance of these terms, your express request for immediate service start, the exact consent wording displayed to you, the date, time, IP address and device information recorded at checkout, and the checking and communication activity carried out on your order.
Raising a chargeback does not suspend these terms. We may decline to provide further services to any account where a chargeback has been raised in respect of a service that was supplied. We will not contest genuine fraud, duplicate charge or clear billing error claims where the evidence supports them.
8. Data We Hold To Provide The Service
To run your search and to evidence it we collect and retain the route and preference details you supply, your contact details, your consent records, and a log of checking and communication activity on your order. This information is necessary to perform the contract between us and to defend a payment dispute. It is described in full in our Privacy Policy.
9. Stopping Your Search
You may tell us at any time that you do not wish us to continue checking, and we will stop. Where a statutory cancellation right applies, any amount retained or payable will be assessed proportionately for the service already supplied. Once the service has been fully performed following the required request and acknowledgement, the statutory right to cancel is lost.
10. Changes To This Policy
We may update this policy. The version in force at the time of your purchase is the version that applies to your order, and that version is recorded against your order at checkout.
